Every childcare program has some requirements specific to their location, funding source, or accreditation body. Custom licensing tasks let you add anything to your compliance checklist that is not already covered by the state template.

How to Create a Custom Task

  1. Go to Licensing → Tasks.
  2. Click Add Custom Task.
  3. Enter a task name and description.
  4. Set the due date.
  5. Assign the task to a team member (optional).
  6. Choose whether evidence or a document upload is required to complete the task.
  7. Set a recurrence if the task repeats (weekly, monthly, quarterly, annually, or custom).
  8. Click Save.

Task Fields at a Glance

  • Task Name — a short description displayed in the checklist.
  • Description — detailed instructions or context for the person completing the task.
  • Due Date — when the task must be completed.
  • Assigned To — the team member responsible for the task.
  • Evidence Required — if checked, the task cannot be marked complete without an uploaded document or note.
  • Recurrence — automatically creates the next instance of the task after the current one is completed.
Use recurrence for tasks like quarterly fire extinguisher checks or annual policy reviews so they automatically reappear after you complete each cycle.
